Why recipe management is more than an ingredient list

For a single-location operation, a spreadsheet or a kitchen notebook is often enough. Once several locations cook the same recipes, that model breaks down: if a supplier, an ingredient price, or a recipe changes, that information has to reach every location at the same time — otherwise costing, allergen data, and food cost start to drift apart between outlets.

Recipe management, properly understood, means: a central recipe database valid for all locations, from which three things are derived automatically:

  • the legally required allergen labeling
  • current food cost and pricing calculations
  • increasingly, nutritional and CO2 data as well

The legal basis: the EU Food Information Regulation and the 14 major allergens

Since December 13, 2014, the EU Food Information to Consumers Regulation (FIC, Regulation (EU) No. 1169/2011) has also applied to non-prepacked food — meaning every dish served in a restaurant, café, or canteen. Operators must inform guests about 14 mandatory allergens for every dish before the guest orders or selects it.

This information can be provided in writing, electronically, or verbally. For verbal information, however, written or electronic documentation must exist that staff can refer to at any time — passing knowledge along "from memory" alone does not meet the legal requirement. A full nutrition table and complete ingredient list are not mandatory for loose (non-prepacked) food, but are increasingly offered voluntarily because guests ask for them.

Why manual maintenance breaks down at the multi-location threshold

At a single location, an allergen list can still be maintained by hand. At ten, fifty, or hundreds of locations, this becomes structurally risky:

  • Recipe changes have to be replicated manually at every single location
  • Supplier switches (e.g. a different sausage or spice-mix producer) change allergens without this being visible on the recipe itself
  • Seasonal or regional menu adjustments multiply the maintenance workload
  • An incorrect or outdated allergen label is not just a fine risk — in the worst case, it's a health risk for the guest

This is exactly the point where the difference between "we have an allergen list" and "we have a recipe management system" becomes decisive.

How automated recipe management works
